Role Overview

We are seeking a detail-oriented, proactive Research & Dissemination Assistant to support both academic and translational research efforts. This role sits at the intersection of research and research application coordination, publication support, and knowledge translation—helping move forward efforts for dissemination and project start-up.

The position focuses on the administrative, organizational, and compliance aspects of research, as well as involves engagement and support to researchers on academic products (conferences, papers) and the translation of research into accessible formats for broader audiences. The ideal candidate is comfortable managing complex workflows, contributing to written products, and supporting researchers by reducing administrative and editorial burden.

Key Responsibilities

Research & Publication Coordination

  • Coordinate academic journal, conference, and applied publication submissions
  • Track submission requirements, deadlines, revisions, and outcomes
  • Support paper placement by identifying appropriate journals, outlets, or platforms
  • Maintain organized records of submissions, reviewer feedback, and publication status

Grant Coordination & Research Administration

  • Help identify grant and funding opportunities aligned with ongoing research
  • Coordinate administrative components of grant submissions
  • Track grant timelines, requirements, and reporting needs
  • Support CV preparation, formatting, and updates for research and grant purposes

Writing, Drafting & Editorial Support

  • Copy edit and review research-related materials, including:
  • Academic and applied papers
  • Research briefs and summaries
  • Reports, white papers, or other translational products
  • Provide copyediting and formatting support for clarity, consistency, and submission readiness
  • Support authorship coordination and documentation

Literature Review & Research Support

  • Conduct and organize literature reviews for academic and applied research
  • Support synthesis of research findings
  • Assist with translating complex research into accessible language for non-academic audiences

Compliance & Documentation

  • Coordinate administrative components of IRB submissions and documentation
  • Track compliance requirements and approvals
  • Maintain organized research records and documentation

Communication, Outreach & Knowledge Translation

  • Support translation of research into public-facing or practitioner-oriented formats
  • Assist with research communication strategies, including briefs, summaries, or digital content
  • Support outreach efforts related to research dissemination

Tools, Systems & AI Support

  • Use and explore AI tools and other systems to support:
  • Literature review and synthesis
  • Drafting and editing
  • Submission and workflow tracking
  • Develop templates and tracking systems to support research and publication workflows

Ideal Candidate
