Role Overview
We are seeking a highly organized, proactive Administrative & Project Workflow Coordinator to support leadership and cross-functional projects on a part-time or contractual basis. This role is ideal for someone who excels at bringing structure, follow-through, and clarity to fast-moving, visionary environments.
Our leadership team is passionate and deeply engaged, and often stretched thin. This role exists to provide operational backbone—tracking decisions, coordinating workflows, managing follow-ups, and ensuring that meetings and projects result in clear next steps and action.
This is a hands-on, execution-focused role.
Key Responsibilities
Project & Workflow Support
- Track tasks, deadlines, and deliverables across multiple projects
- Coordinate follow-ups and ensure accountability across workstreams
- Proactively clarify priorities, next steps, and ownership
Meeting & Administrative Coordination
- Schedule meetings and manage calendars as needed
- Prepare agendas, capture notes, and document decisions and action items
- Maintain organizational “memory” by tracking what was decided and what comes next
Systems, Templates & Process Improvement
- Create and maintain templates for meetings, task tracking, and documentation
- Develop lightweight policies and procedures to improve consistency and efficiency
- Introduce tools that support organization, project management, and communication
Tools & AI Exploration
- Research and recommend tools (including AI-based supports) for:
- Project and workflow management
- Administrative efficiency
- Social media organization and strategy
Communication & Collaboration
- Communicate clearly and confidently across teams
- Ask questions, surface inconsistencies, and remove barriers to progress
- Support leadership with proactive reminders and coordination
